Response reporting questions
You can find missing answers, understand why your email platform shows something different, and check what export and retention limits mean for your responses.
If an answer seems to be missing, start with the report that contains it. A question's Results and Activity tabs show choice answers and recorded question activity. Responses shows typed inputs and Other write-ins. Opening Responses requires Scale or Pro.
When comparing RightMessage with your email platform, use the same question, flow, dates, and filters.
Why do I see one answer card when two answers reached my email platform?
The answer card and your email-platform field are different records, so they can differ without either system losing an answer.
To find the answers you're comparing:
- Select the same question, flow, and date range.
- Open the question's Activity tab for individual recorded answers.
- For typed inputs and Other write-ins, open Responses.
- Clear the question, identity, search, and theme filters.
- Check the other pages of responses.
- If you duplicated the question or used Use a copy in this flow instead, check both question IDs. Earlier responses stay with the original, including earlier answers from that flow.
If the numbers still don't match, send support the project, question ID, flow, approximate submission times and time zone, expected responses, actual rows, and provider destination. Say whether you tested a draft or the published version. Don't include API keys or unrelated personal data.
Is a response the same as a segment or a synced field?
No. A response records an answer, a segment assignment puts a visitor in a category, and a synced field is the value your email platform or CRM accepted.
Choice answers create segments. An Auto-Segment rule can assign the same membership without a question submission. Typed inputs don't create a segment for every value. Your email-platform field can also contain a value from another form or automation.
How long do you keep survey responses?
The response controls don't specify a universal retention period. The default last-30-days view is a filter, not a deletion policy.
Deleting a question keeps its historical responses. Permanently deleting selected rows in Responses removes those records. Neither behavior guarantees indefinite storage or replaces an account-specific retention agreement.
If you need a particular retention period, confirm the policy that applies to your account with support and keep the exports you need.
Can I export responses?
Yes, if your project has CSV export access. Export CSV downloads the filtered set. Select rows to use Export for that selection instead. The header checkbox selects the current page only.
See filter and export responses for the steps and CSV columns. Export status lasts 24 hours. That isn't the retention period of the underlying responses.
Does Responses contain every multiple-choice click?
No. Responses contains typed input answers and Other write-ins. Use the question's Results and Activity tabs for ordinary choice answers and recorded question activity.
A metric labeled Unavailable for this range isn't zero. Historical answers can exist even when shown, skipped, closed, or identification markers weren't recorded for that range.
Why can't I see any themes?
Themes may still be loading, may have no summaries yet, or may be unavailable. No themes yet and Themes are unavailable right now tell you which state you're seeing.
Themes summarize a limited sample. Check the response list before assuming the answers themselves are missing.
Why can I see responses but not a full visitor profile?
Visitor-profile access is separate from response access. An answer can also be anonymous, so connecting an email platform doesn't identify everyone who responds.
Check your profile access, visitor identification, and report availability separately.
Why does my email platform have less text than the response?
Your provider's field limit can truncate or reject text. A full Other write-in in RightMessage can therefore differ from the value your provider accepted.
Check the destination field type and your provider's limit. Integrations don't all have the same maximum length.
For a sync problem, verify the integration change. For reporting definitions, see question reporting and activity.
